Privacy policy
Last updated: 15 October 2026
This policy explains what personal information we collect when you use louiseclark.art, theimperfectcircle.co.uk, or visit the studio, why we collect it, and what your rights are. We have tried to write it in plain English.
Who we are
Louise Clark Art and The Imperfect Circle are trading names of Cassette Creations Ltd, a company registered in England and Wales (company number 16100448), registered office Suite 2-B, Point East, Park Plaza, Cannock, Staffordshire, WS12 2DB. Cassette Creations Ltd is a subsidiary of Cassette Holdings Ltd (company number 16099121). For the purposes of UK data protection law, Cassette Creations Ltd is the data controller. "We", "us" and "our" in this policy mean Cassette Creations Ltd. The studio is at Pod 3, The Eco Centre, Home Farm, Screveton, Nottinghamshire, NG13 8JL.
What we collect and why
When you buy something or book a seat
Your name, email address, billing address, what you bought, and payment confirmation. If you order artwork or prints for delivery, your delivery address. If you choose to give it, your phone number. We use this to take your payment, send your order or run your workshop, send you emails about your booking (the confirmation, and sometimes a reminder before you come), and keep the records the law requires us to keep. The legal basis is performing our contract with you, and our legal obligations.
If you tell us something to help us look after you on the day, such as an allergy or an access need, we use it only for that, share it with nobody, and delete it after the workshop.
When you join the list
Your email address, when and where you signed up, which of our sign-up forms you used, and, if you tell us, which days suit you for workshops. If you sign up on the website, we ask you to confirm your address by clicking a link (double opt-in) before we send you anything. If you give us your email address in person at the studio, we add you to the list with your written consent on our sign-up sheet, which we keep as the record of that consent. We use it to send you letters from the studio, roughly monthly, and workshop dates before they appear on the website. The legal basis is your consent, which you can withdraw at any time using the unsubscribe link in every email. If you tick the box at checkout to receive texts, we store your mobile number for that purpose only, and you can stop them at any time by replying STOP or emailing us.
When you write to us
Whatever you send, and your email address, so we can reply. We keep it as long as it is useful for answering you.
Photographs at the studio
We sometimes take photographs and short video during workshops. We ask on the day whether you are happy to be in them, and we do not publish images of anyone who has said no.
Reviews and kind words
If you give us feedback and tell us we may quote it, we keep the words and the name you have asked us to use.
How you use the website
Our shop runs on Shopify, which collects the usual technical information about visits (pages viewed, device and browser type, IP address) and uses cookies to make the shop work and to give us anonymous statistics about how it is used. Shopify's cookie notice is at shopify.com/legal/cookies. theimperfectcircle.co.uk is served through Cloudflare, which gives us anonymous traffic counts. We use Google Search Console to see how the site appears in search results; it does not tell us who you are. We also use Microsoft Clarity to see how people use the site (where they scroll, what they tap, where they get stuck), so we can make it easier to navigate. Anything you type is masked before it leaves your browser. If you decline cookies in the banner, Clarity sets none and treats each page you view as a separate anonymous visit. Microsoft's privacy statement is at privacy.microsoft.com/privacystatement. We do not run advertising, and we do not use advertising cookies.
Who we share it with
We do not sell or rent your information to anyone. We share it only with the services we need to run the business, each of which handles it under its own privacy policy:
- Shopify (the shop, checkout, our email list and order emails) and Shopify Payments or PayPal (taking your payment; we never see your full card details).
- Eventbrite, if you book a workshop there: it takes your booking and payment, and passes us your name, email address and anything you tell us when you book.
- Gelato, which prints and posts prints on our behalf and receives your name and delivery address for that order.
- Royal Mail or the courier we use to send original artwork.
- Google Workspace, where our email and business files live.
- Xero, our accounting software, which holds sales records.
- Microsoft Clarity, which shows us anonymous recordings and heatmaps of how the site is used, so we can improve it.
We will also disclose information if the law requires it, and if the company is ever sold or restructured your information would pass to the new owner under the same commitments. Some of these services store data outside the UK; where they do, they rely on the UK's adequacy regulations or standard contractual clauses.
How long we keep it
Order and payment records: six years after the end of the tax year, because HMRC requires it. Your place on the list: until you unsubscribe. Messages: as long as they are useful for dealing with your query. Anything about allergies or access needs: deleted after the workshop.
Your rights
Under the UK GDPR and the Data Protection Act 2018 you can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, ask us to stop using it in certain ways, ask for it in a portable format, object to processing based on our legitimate interests, and withdraw consent at any time. Email us and we will respond within a month; we may need to check it is really you first.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.
Children
The website is not aimed at children under 16 and we do not knowingly collect information from them. Under-16s are welcome at the studio with an adult, and it is the adult we deal with.
Changes
If we change this policy we will update the date at the top and, if the change matters, tell people on the list.
